To reserve a large conference room located in the basement of City Hall (rooms 40, 41, or 42), email the Office of Technology & Communication's at ServiceDesk@ci.stpaul.mn.us at least 24 hours in advance.

City, County, and State employees who regularly schedule meetings in these rooms should request an account for the Resource Scheduler, a web-based room reservation system, by emailing the Service Desk. 

Tips for Scheduling

  • Room 40 is the largest and includes an optional divider to split the space into Room 40A and Room 40B. To reserve the full space, select the divider under “Services” in the scheduler.
  • You must leave at least a 30-minute gap before and after your meeting to allow time for furniture rearrangement or personal setup. Ramsey County building maintenance no longer provides room setup.
  • Meeting reservations are first come, first served. If a conflict exists, you’ll need to coordinate directly with the other meeting’s organizer.

Audio/Visual Support Notice

OTC’s role is limited to room scheduling; we do not provide A/V equipment or support in Rooms 40, 41, or 42. TV monitors on carts may be available in these rooms courtesy of the State of Minnesota Court System for basic presentations. Please note:

  • The monitors do not have audio capabilities.
  • The Court cannot guarantee availability or functionality.
  • The Court is not responsible for equipment repairs or replacements.
  • If you need help using the equipment, please contact your organization's IT support.
  • Equipment may be removed at any time if reclaimed by the Court.

You are welcome to bring your own portable A/V setup if needed.
